But simply being on a directory isn’t enough anymore. You have to optimize your profile.
With the rise of AI-driven search and constantly evolving SEO tactics, your profile needs to work harder than ever to stand out. If it’s outdated, vague, or missing key details, you’re leaving money on the table.
So let’s fix that.
Most people looking for a notary aren’t typing your exact name into Google. They’re typing:
“Mobile notary near me”
“How to get an apostille in [State]”
“Notary for estate planning documents”
“online notary”
And here’s where AI search engines come in.
Platforms like Google, Bing, and even ChatGPT-powered searches are not just listing notaries at random. They’re ranking profiles based on completeness, credibility, and relevance. That means your listing needs to be rich with real-world data, local keywords, and trust signals.
Ready to make your profile a client magnet? Here’s what to do.
A clear, friendly headshot builds instant trust. Skip the car selfies, pet photos, and logos. People do business with people.
You don’t need to book a professional photographer (yet). A good selfie with natural light and neutral background is a great start, just be sure it’s sharp, well-lit, and business-appropriate.
Advanced Tip: On your device, save & name your headshot file something like "mobile-notary-chicago.jpg" before uploading it to give search tools a little extra context.
Most listings default to bland titles like, “John Smith – Notary Public.” That’s not helping you. Remember that everyone on a notary directory IS a notary-so you have to do something that helps you stand out in a sea of sameness.

AI tools value conversational flow, so don’t be afraid to write in your natural voice. Add a little personality. Look at this example from Diane Remaly:
“You found the BEST!! Certified Notary Signing Agent, Remote Online Notary and Trust Delivery Agent providing White Glove Service each and every time.”
Your About section should do two things:
Speak directly to your ideal client
Help AI search tools understand what you do
Here’s a solid framework to use:
Who you serve: Attorneys, escrow officers, businesses, general public, etc.
What you specialize in: Loan signings, apostilles, trust delivery, estate planning documents, etc.
What makes you different: Reliability, speed, same-day appointments, friendly service, attention to detail, etc.
Where you work: Include city names, zip codes, and recognizable neighborhoods or landmarks.
When you’re available: After-hours, weekends, by appointment only, etc.
Blah example:
“I am a commissioned notary public with 5 years of experience. I provide professional notary services in my area.”
Better example:
“As a mobile notary and loan signing agent with 7+ years of experience, I specialize in real estate closings, estate planning documents, and high-value transactions. I serve downtown Philadelphia, University City, and zip codes 19103, 19104, and 19146. I offer same-day and after-hours appointments to attorneys, escrow officers, and business professionals who need reliable, on-time service. Let’s work together!”
Keywords help AI and search engines categorize your profile, but keyword stuffing backfires.
Weave relevant phrases into natural-sounding sentences like:
Mobile notary specializing in estate planning documents like living trusts, powers of attorney, and last wills
Traveling notary for real estate closings, refinance packages, and seller docs
Certified notary who can help get an apostille for your birth certificate or marriage license for use overseas
Keywords to consider including:
Mobile notary, traveling notary, notary public, loan signing agent
Apostille services, authentication, embassy legalization
Estate planning, power of attorney, trust documents
Remote online notarization (RON), virtual notary, e-notary
Write like a human. AI prefers it that way.
Search engines (and clients) trust real-world credibility markers. If a directory allows, include:
Certifications: NNA Certified, Certified Notary Trust Delivery Agent, Certified Apostille Agent, LSS Certified, Notary2Pro, etc.
Bond information, if you have it: Remember, bonds protect the public, so they might care about that. E & O insurance protects you, so no one cares about that except you (and maybe loan signing hiring parties-so know your ideal customer).
Professional Associations: “Member of the American Society of Notaries” or “Member of the National Notary Association,” or “Non-Attorney member of the North Carolina Bar Association,” or “Proud member of the Portland Chamber of Commerce.”
Client Reviews & Testimonials: If your directory supports reviews, encourage happy clients to leave them.
Advanced tip: If your site or directory allows links, connect to your Google Business Profile, LinkedIn, or review platform of choice for extra trust signals.
This sounds obvious, but it’s a common pitfall. If clients can’t reach you easily, they’ll move on.
